The Front Desk Representative is the first point of contact for clients, visitors, and employees. They are responsible for greeting guests, answering phone calls, managing appointments, and providing administrative support to ensure smooth office operations.
Key Responsibilities:
Guest Reception & Customer Service:
Greet visitors and direct them to the appropriate person or department.
Provide information about the company’s services and address inquiries.
Maintain a professional and welcoming front desk environment.
Phone & Email Management:
Answer and forward calls in a professional manner.
Respond to emails and inquiries promptly.
Scheduling & Appointments:
Schedule and manage meetings, appointments, and conference room bookings.
Notify staff of visitor arrivals and scheduled meetings.
Administrative Support:
Maintain records, files, and documents in an organized manner.
Assist in data entry, filing, and document preparation.
Handle incoming and outgoing mail and deliveries.
Office Management:
Monitor and order office supplies as needed.
Ensure the reception area is clean and organized.
Security & Compliance:
Follow company security procedures for guest check-in and ID verification.
Maintain confidentiality of sensitive information.
Qualification &
Skills
Educational Qualifications:
Bachelor’s degree in Accounting, Finance, or a related field.
Work Experience:
Entry-Level: 0-2 years of relevant accounting experience.
Technical Skills:
Proficiency in accounting software such as QuickBooks, SAP, Tally, or Xero.
Strong understanding of GAAP, IFRS, and local financial regulations.
