The Front Desk Receptionist serves as the first point of contact for visitors, clients, and employees. This role involves performing a range of administrative and clerical tasks to ensure smooth operations at the front desk, including answering phones, greeting guests, scheduling appointments, and maintaining a professional and welcoming environment.
Key Responsibilities:
Greeting and Assisting Visitors: Welcome visitors, clients, and employees as they enter the building. Provide directions or assistance as needed.
Phone Management: Answer incoming calls, direct calls to the appropriate departments, and take messages when necessary.
Appointment Scheduling: Schedule and confirm appointments, meetings, or conferences for employees and visitors.
Administrative Support: Perform general office tasks such as filing, data entry, and organizing documents.
Email and Mail Management: Sort and distribute incoming mail, packages, and emails.
Office Supply Management: Keep track of office supplies and reorder when necessary.
Security and Access Control: Ensure that visitors sign in and out, issue visitor badges, and monitor security protocols.
Record Keeping: Maintain accurate logs of visitors, appointments, and any other necessary documentation.
Customer Service: Handle client and customer inquiries and complaints in a professional and efficient manner.
